Problem: Job Workflow & Tracking
A variety of things can constitute a ‘job’ at Collicutt, including solution builds, rebuilds, and maintenance. These are complex projects taking place across a 70,000 sq ft facility. Communication re: job stage, status, materials, cost, and time was decentralized across email, paper, etc. A limited number of people had the ability to key updates back into SAP manually. This mode of operation was inefficient and too error prone to be at the heart of Collicutt’s delivery process.
Solution: Versago as Job Board Portal
Using Versago, tasks for jobs are issued to the floor. Versago becomes the digital shop traveler. Technicians on the floor using iPads can access the tasks, log time against them, and update the status. A two-step workflow enables approval to move from project managers to supervisors. From a common screen supervisors can track job performance against quoted cost and hours, and purchase order status. Everyone has the interaction and visibility they need.
Problem: Sales to Service Hand-Off
After a generator is sold there is supposed to be a handoff to a ‘service salesperson’ to offer a preventative maintenance contract. This handoff was handled in email and being missed. It resulted in customers not benefiting from the full range of Collicut’s service value as well as a loss of additional revenue.
Solution: Versago as Sales Portal
Based on an order status change, the service salespeople receive a notification and from Versago can access the order and see the appropriate actions to take with the customer. Collicut also enables any employee to generate a lead from Versago, Sales to add and update opportunities with follow-up, and Sales Management to ensure follow-ups happen.
Problem: Inventory Visibility for Parts Team
Members of the parts team need to have 24/7 access to inventory to participate in job planning and respond to customer needs. To do this they would take a laptop home so they could log in to SAP to check stock. With Versago, Collicutt saw a better way.
Solution: Versago as Parts Team Portal
Configuring access to inventory in Versago requires no work. Versago ships with a template SAP inventory listing that can be assigned to the appropriate roles, filtered, and formatted to what they need to see. The Collicutt Parts Team members can access this from their phones at any time.
Problem: Employee Absence Request
Employees filled out absence requests using editable PDF files that were then emailed to their managers. This was yet another decentralized process resulting in low visibility into employee PTO across the company.
Solution: Versago as Employee Portal
This was another quick win for Collicutt with Versago. Employees can log in to Versago and fill out a simple form indicating planned absence. It then becomes visible to a supervisor who can approve it in Versago. Bizweaver is then used to update an OutLook calendar making it visible to the organization. The PTO is also displayed in a calendar within Versago which is accessible by all employees.
Problem: Field Service Coordination
Like all the above examples, field service coordination and information exchange were managed via disparate forms of communication. This caused all the same time efficiency, error potential, and frustrations. Collicutt was in the market for a field service application which can be expensive, require integration to SAP, and would be yet another app added to the organization. Collicutt saw how their field service needs could be addressed using Versago.
Solution: Versago as Field Service Portal
Dispatchers use Versago to assign a job to a technician or multiple technicians. Based on how the job is set up, certain Versago forms become available to technicians. When they get to the customer’s site, Versago steps them through job tasks in a certain order. They fill out mandatory/job specific forms, confirm or edit the equipment information (with a real-time update back to SAP if there is a change), enter their time and fill out a resolution. Time entries go through a 2-step approval. It is automatically updated in the job costing module in SAP. Customers log in to Versago to access nicely formatted service reports.

RFQ Initiation
A large enterprise customer lacked one place to submit RFQs. The customer would send quote requests in an email to one member of the sales team. The rest of the team had no visibility to the RFQs. Without shared visibility and management of the customer requests, Vuzix could not fulfill orders on time. This caused business disruption for the customer and put revenue at risk for Vuzix.
Versago as Customer Portal
Versago is a role-based application. Customers can log in to Versago under a Customer role. They are then able to fill out an RFQ form. They can also review a listing of all submitted RFQs.
Once an RFQ is submitted in Versago, Bizweaver sends a confirmation email to both the requestor and the sales team and creates a sales quotation in SAP.
Purchasing Cycle
Purchase requests were submitted manually outside of SAP. Requestors had limited visibility into the status of the request throughout the purchasing cycle. Buyers had to spend time chasing approvals and then manually re-entering the data into SAP to cut a vendor PO. This process caused delays in fulfilling requests and caused low morale in the Purchasing department as they spent their time completing data entry rather than performing value added activities.
Versago as Purchase Request Portal
People can log in to Versago under a Purchasing role and submit Purchase Requests. This is a form that has built-in lookups to pull relevant vendors and items from SAP in real time, as well as user information. There is another role called Purchasing Buyer that allows the purchasing team to review all requisitions and add the proper G/L coding before the request is emailed to the appropriate approvers.
Production Orders
The system being used was confusing for managers, supervisors, and direct labor employees. It could only be accessed by one person at a time because of licensing costs. Mistakes were made resulting in inaccurate data. This caused problems for supervisors and managers. It also affected the performance of the direct labor employees.
Versago as Production Portal
People in QA and Shipping log-in under a Production role and enter their time, issue materials, and receive finished goods into stock. QC inspectors log all their inspection results. Everyone experiences simple, user-friendly web pages. Users can access issue and receipt error logs and listings of open production order times and time approvals. This enables both operators and supervisors to monitor the transactions being logged through Versago. Bizweaver (included with Versago) processes all the data transacted from Versago into SAP against Production Orders, including issuing items and resources. For the QC processes, Bizweaver invokes inventory transfers to designated warehouses in SAP based on the result of inspections.

Vuzix has also configured an Executive role enabling management to log-in and access charts for comparative sales analysis. Another role enables access to purchase order receipts, inventory levels, and BOM explosions.

How many processes or programs around your business require the participation of multiple players, be they employees, partners or customers? Probably quite a few. Even processes that are automated often require human intervention somewhere along the way.
For the most part, the key processes of a company exist in the familiar operating cycles like quote-to-cash, purchase-to-pay, plan-to-inventory, design-to-production, and so on. Also, every company has processes and programs that are unique to them. Whether unique or not, it is still the case in the year 2021 that some or all parts of many processes are still burdened with decentralized and manual ways (paper, fax, email, spreadsheets, etc.) of accessing, sharing. and processing information. All of which happens out of sync with core systems of record like an ERP or CRM system.
These are speedbumps to growing a business. Some companies turn to apps to digitalize these processes. These usually require expensive customization to satisfy the requirements of unique processes and don’t often extend to cover multiple operating scenarios. This can get complicated for a business.
Digitalizing is of course the answer, the question is, what type of solution can most efficiently address human-to-data interaction needs across numerous, varied processes and programs?
OGI Eyewear in Minneapolis, MN is an optical design company, a worldwide leader in affordable luxury eyewear, specifically eyeglass frames. Their customers are retail optometrists. Like any other company, OGI has both traditional and unique processes and programs. And like most other companies, it is often the unique programs that can be the difference-maker in achieving greater market penetration. This makes it all the more important that such programs run efficiently.
A few years ago OGI decided to go into the Canadian market directly, not through a distributor. In doing so, they were looking for ways to increase brand visibility there. An opportunity came up for OGI to work within a charitable program called Eye See…Eye Learn (or ESEL) a program that runs under the Provincial Professional Association for Optometrists. ESEL’s mission is: “To detect, diagnose, and treat vision problems in kindergarten students so that they can see, learn, and play to the best of their ability”. ESEL is a province-wide program, the largest of its type.
As it turns out, for the program to get a pair of eyeglasses to a child in need, four players are required, they are the provincial association, an eye doctor to perform the exam, a lab to cut and grind the lenses, and a frame-maker like OGI Eyeware to provide the frames.
Working with ESEL would provide OGI efficient access to optometrists, accelerating their direct marketing strategy in Canada, while at the same time making a meaningful contribution to the public.
In participating in the program each player has the following needs or concerns:
Provincial Associations are concerned with growing the program and tracking activity.
The Lab needs to prepare lenses according to prescriptions.
OGI Eyeware needs to know which frames to send to the lab for which of their optometrist customers.
Optometrists need to initiate and track the order status on behalf of their patient and be aware of any problems.
As the program advanced it became complicated to administer. For optometrists, it required a different kind of workflow, one where a network of partners simultaneously required visibility and the ability to provide updates against a backlog of orders. This was different from the typical linear flow of taking eyeglass frames off the wall and sending them to the lens maker.
Managing the process with the tools at hand looked like this: Optometrists had to fax a form off to the professional association to meet their needs, then fax another form to OGI, and another one to the lab. When faxes didn’t go through, people from the different organizations would call each other trying to track things down. The lab might call OGI saying “Hey, we just got this frame but we never got the lens order.” But OGI was unable to tell the lab who the frame was for.
“It got to the point where people were maintaining large spreadsheets of jobs and status and then faxing the spreadsheets to each other and marking them up.”, said Luke Brown, Manager of Operations at OGI.
One might chuckle at the archaic manner in which the process was being handled, but this is not uncommon. The reflex or muscle memory to solve digitally is still not entirely present in small and midsized businesses. The 2019 Deloitte study, “The Performance of Small and Medium-Sized Business in a Digital World” found that 25% of SMEs are at a basic level in their digital journey, and 41% at an intermediate level.
At one point, Luke spoke to an OGI customer service manager who was in the middle of managing the ESEL program for OGI. She told him about the number of person-hours required each week to manage ESEL. It was enough to require most of an FTE. If she weren’t able to recoup the hours, she would need to add a headcount, and at the time, that wasn’t an option.
As fate would have it, Luke had been using Third Wave Business System’s Versago configurable web portal platform to simplify information flows in other parts of OGI’s business. As he shared those use-cases in conversations internally, it didn’t take long for OGI to see how Versago could be put to use in managing the ESEL program, not just for OGI Eyewear but for all the players involved!

Using Versago, the solution for ESEL was quite simple. It was comprised of a web page with a form for order entry and a page listing existing orders with status and the ability to make updates. Each player in the network was given role-based access to see and do what they needed to do.
Orders are filled out by optometrists participating in ESEL. All information that all players in the network need is captured on one form:
When the optometrist submits the form an email is sent to all players in the process and the order is automatically created in SAP.
OGI was able to easily create a second form for the Professional Assoc. that captured information about kids who were examined but would not need glasses. The program still wants to know the patient has been seen.
All players in the process can log in and check and update the order status depending on their role in the process and where the order is in the workflow. For example, OGI can prepare the frame and ship it to the Lab at the appropriate time.
In the end, emails stopped, faxing stopped, and all the “who’s on first?” stopped. The entire process and participants can provide and access all the information they need on one simple website from any device. And remember, OGI was already and continues to use the one Versago application, not multiple different apps, to connect people with the information they need in different processes around the company, not just the ESEL program.
Luke Brown sums it up like this: “The ESEL program was a slam dunk Versago use-case because you’ve got multiple constituents inside and outside the organization. If we hadn’t done this we would have probably had to have given up. This is good for us as a business and good for thousands of kids who can now see the chalkboard.”

Our client wanted to build on the success of the SAP Business One ERP implementation with enterprise mobility for deliveries, invoicing, and payments enabling a streamlined order-to-cash (O2C) process for its operations while strengthening the relationship with their customers. This required finding a way to reduce manual interventions and reduce the number of steps and time to sync data between SAP Business One and all the players in the process.
Third Wave worked with our Client to implement Versago — digitally integrated web and mobile platform underpinned by SAP Business One — to enable workforce mobility and create a faster order-to-cash process.
The O2C process required multiple different business functions to have access to accurate, real-time information at any time. Building a best practice SAP integration solution for our Client’s O2C process required interconnected data, automated communications, and mobile orders, signatures, invoicing, and payments.
The Third Wave experts worked closely with the Client leveraging our pre-built template functionality to configure the use-cases for process improvement and the order-to-cash flow. Integrating the Versago portal platform with SAP Business One via the Bizweaver data connector resulted in a mobile solution available to sales, delivery, accounting, and customers.
As a systems integrator, Third Wave took responsibility for driving the SAP mobility solution via the Versago platform from gathering initial requirements to post-go-live support.
The Versago platform plays a big role in driving the organization’s relationship with the customer by facilitating the O2C process at every level. Implementing the Versago platform with SAP, incorporating digital customer signatures, has streamlined the order-to-cash process from beginning to end to serve customers faster, reduce outstanding receivables, and increase cash flow. The various functions involved in O2C improved significantly through the use of an integrated digital solution. The optimized O2C flow enables the organization and customers to interact with information in a more reliable process and simple user experience as compared to the previous paper-based process requiring manual data entry into SAP at every step.
Overall, the solution has delivered time-saving across the business and reduced material related to accounting and service. Timely data ensures an accurate view into cash flow and maximum positive impact to the company.
